Subprocessor notice checklist for SaaS teams
Use this before you send a vendor-change notice so you do not miss the facts, the timing, or the proof your customer or counsel will later ask for.

When to use this checklist
Run the checklist when you add a new subprocessor, replace a vendor, change the processing region, or update the purpose a vendor serves in the product.
The point is to turn a messy vendor change into a repeatable workflow you can review before customers see it.
Checklist
- Confirm the vendor legal name and public website.
- Describe the service purpose in customer-facing language.
- List the data categories that may be processed.
- Note the processing region or transfer context.
- Capture the notice date and planned effective date.
- Calculate the objection deadline from the controlling agreement.
- Identify the affected customer segment or contract source.
- Assign an internal owner and reviewer.
- Save the final notice copy and page snapshot in one evidence folder.

What gets missed most often
No deadline math
If the notice does not clearly show the objection window, customers cannot tell when the change becomes effective.
No evidence folder
Notice copy, screenshot proof, and reviewer notes should live together before the change ships.
No customer segment
One vendor change may not apply to every customer. Segment by agreement or product line before sending.
No reviewer signoff
Even small teams need to know who checked the wording before the notice goes out.
